Scope of this policy
This policy covers information collected through diramentorship.com, including registration, the waiver/consent step, payments, the contact form, and the "look up my registration" and "pay remaining balance" tools. It does not cover information collected offline (for example, in person at a session) except where that information is also entered into this website by our staff.
Information we collect
When a parent/guardian registers a student, we collect:
- Student information: first and last name, school, and grade level.
- Parent/guardian & contact information: the registering parent/guardian's name, email address, and phone number; the student's city and country; and, where provided, a second parent/guardian's name, email, and phone number.
- Registration details: the cohort selected, how you heard about the program (optional), what you hope the student gets out of it and any additional notes you choose to share (optional), and the date/time of registration.
- Waiver & consent responses: your answers to each item on the Waiver and Consent Form (for example, consent for program participation, emergency medical authorization, virtual-session consent, and the separately optional items covering transportation, off-site activities, photo/media use, and academic-records sharing).
- Payment records: the amount, date, and payment plan associated with each payment, and identifiers assigned by our payment processor, Stripe, not your full card or bank account number (see Section 07).
- Waitlist information: if a cohort is full, the name, email, and phone number of the student for whom you'd like to be notified of an opening.
- Contact form submissions: your name, email, optional phone number, subject, and message, if you contact us directly.
How we collect it
We collect the information above directly from you, when you fill out the registration form, the waiver/consent form, the "look up my registration" or "pay remaining balance" tools, or the contact form. We do not currently purchase or license personal information about you from third-party data brokers, and we do not collect information about you from your use of other, unrelated websites.
How we use information
We use the information described in Section 02 to:
- Process and confirm registration, assign a registration number, and hold a seat in the selected cohort;
- Collect the program fee, track payment plan progress, and send payment confirmations, receipts, and reminders;
- Communicate with you about the registration, the program schedule, and, where separately consented to, allow assigned mentors to communicate directly with the student about program matters;
- Deliver the program itself, including tailoring coaching to the student's stated grade, school, and goals;
- Maintain waitlists and notify families when a seat becomes available;
- Respond to contact-form inquiries;
- Meet administrative, safety, and recordkeeping needs (for example, maintaining emergency contact and medical-authorization information for the duration of a student's participation); and
- Detect and prevent fraud, abuse, and security incidents affecting this website.
Where you've separately consented on the Waiver and Consent Form (for example, to photo/media use or sharing academic records), we use that information only for the specific purpose described in that consent, and only until you withdraw it in writing.
Student & academic information
Where a parent/guardian separately authorizes it on the Waiver and Consent Form, a student's own school, parent/guardian, or school may share academic records (such as grades, test scores, attendance, or application materials) with us for coaching purposes. We use that information solely to support the student's mentorship and do not require any school to release it; consent for this item may be withdrawn in writing at any time, and doing so does not affect the student's ability to participate in the program itself.
We do not intentionally publish a student's sensitive academic or medical information in any public-facing material, testimonial, or promotional content, regardless of any separate media-use consent given.
Payment information
Online payments are processed by Stripe, Inc. When you pay online, your card or bank details are transmitted directly to Stripe and are not stored on our servers; we receive and retain only transaction identifiers, amounts, dates, and status (for example, "succeeded" or "refunded") needed to track your balance and provide receipts. Stripe's own privacy practices, available at stripe.com/privacy, govern its handling of your payment details.
We do not sell personal data
We do not sell personal information to third parties, and we do not share personal information with third parties for their own targeted-advertising purposes. This has always been our practice and is also what our own Waiver and Consent Form commits to.
Data retention
We retain registration, waiver/consent, and payment records for as long as reasonably necessary to deliver the program, resolve payment or program-related questions, meet our own accounting and legal recordkeeping obligations, and defend against or bring a legal claim, typically for the duration of the student's participation plus a reasonable period afterward. Waitlist entries for a cohort that has since started or been cancelled are periodically removed if no seat became available. You may request earlier deletion under Section 12, subject to the limits described there.
How we protect information
We use technical and administrative safeguards designed to protect personal information, including encryption of data in transit (HTTPS), password hashing and two-factor email verification for staff accounts with access to registration data, and access limited to staff who need it to run the program. No method of transmission or storage is completely secure, and we cannot guarantee absolute security, but we work to apply safeguards appropriate to the sensitivity of the information involved.
Your rights & choices
You, or a parent/guardian on behalf of a minor student, may:
- Request a copy of the personal information we hold about you or the student;
- Ask us to correct inaccurate information (for example, an updated phone number or address);
- Ask us to delete personal information, subject to our need to retain certain records for payment, legal, or safety reasons described in Section 10;
- Withdraw a specific optional consent given on the Waiver and Consent Form (photo/media use, transportation, off-site activities, or academic-records sharing) at any time in writing, without affecting the lawfulness of anything already done in reliance on it; and
- Opt out of non-essential email communications (program-related emails needed to run an active registration, such as payment confirmations or session logistics, are not considered promotional and may continue while the registration is active).
To exercise any of these choices, contact us using the information in Section 18. We will respond within a reasonable time, and in any event within the timeframe required by applicable law.
Minnesota residents
Dira Mentorship is based in, and primarily serves families in, the Minneapolis–St. Paul metro area. The Minnesota Consumer Data Privacy Act (MCDPA) grants Minnesota residents specific rights (including the right to know, access, correct, delete, and obtain a portable copy of personal data, and to opt out of profiling, targeted advertising, or the sale of personal data) for businesses that meet certain data-volume thresholds set by that law.
The volume of personal data we process is well below those thresholds, so the MCDPA does not formally apply to us. That said, we already extend the substance of the rights described in Section 12 to every parent, guardian, and student we hold information about, regardless of residency or whether a particular law's threshold is met; and we do not engage in profiling, targeted advertising, or the sale of personal data in any case (Section 09).
A note on children's privacy
This website is intended to be used by parents and legal guardians to register a student, not by children directly, and we do not knowingly collect personal information directly from a child through this website. Information about a student is provided to us by a parent/guardian, who reviews and consents to its collection and use through the registration and Waiver and Consent Form process described throughout this policy.
If you believe a student has submitted personal information to us directly without parental involvement, please contact us (Section 18) so we can address it.
Where this policy applies
This website and the program are intended for residents of the United States, principally the Minneapolis–St. Paul, Minnesota metro area. We do not direct this website to, or knowingly collect information from, residents of the European Union, United Kingdom, or other jurisdictions with their own comprehensive data-protection regimes, and this policy is not written to address those frameworks specifically.
Third-party links
This website may link to third-party websites for your convenience. This policy does not apply to those websites, and we encourage you to review the privacy policy of any third-party website before providing information to it.
Changes to this policy
We may update this policy from time to time to reflect changes in our practices or applicable law. If we make a material change, we will update the "Last updated" date at the top of this page and, where the change materially affects how we handle information from an active registration, notify affected families by email.
